Privacy Policy

Just Tool Hire ("we", "us") operates newcastletoolhire.co.uk and provides tool and plant hire across Newcastle-under-Lyme, Stoke-on-Trent, Staffordshire and Cheshire. This policy explains what personal data we collect, why we use it, and your rights under UK GDPR and the Data Protection Act 2018.

1. Who we are

2. Data we collect

  • Booking & enquiry details — name, mobile number, email (if provided), delivery and billing addresses, postcode, hire dates, equipment requested, and quote totals.
  • Service messages — WhatsApp, SMS, phone or email correspondence about your hire.
  • Website analytics — anonymised or pseudonymised usage data via Google Analytics (page views, device type, approximate location from IP) when cookies/analytics are loaded.
  • Shared quotes — if you use "Share quote", the tools, dates, postcode and town in that quote are stored so the link works. No name or phone number is stored with it.
  • Technical data — browser type and basic logs needed to run the site and process form submissions (including via our hosting provider, Netlify).

We do not take payments online. Payment is arranged on delivery (cash or bank transfer).

3. Why we use your data

  • To provide quotes, confirm availability, deliver and collect equipment (contract / pre-contract steps).
  • To contact you about your booking, changes, or safety/collection arrangements (legitimate interests / contract).
  • To improve the website and understand demand (legitimate interests; analytics).
  • To meet legal or accounting obligations where required.

4. Who we share data with

We only share what is necessary with:

  • Netlify — hosts the website, receives booking and contact forms, and stores shared quotes.
  • Google Analytics — only if you accept analytics. We send the area part of your postcode (e.g. ST5), never the full postcode, your name or your phone number.
  • Postcode and route lookups — when you ask for a delivery price, your postcode is sent to postcodes.io (with getthedata.com and findthatpostcode.uk as backups) to find its location, OSRM (router.project-osrm.org) to work out the driving distance, and Ideal Postcodes to list the addresses at that postcode. They receive the postcode and your IP address, nothing else.
  • Open-Meteo — provides the local weather shown on the site. It receives your IP address only; we ask for Newcastle-under-Lyme's weather, not yours.
  • YouTube — how-to videos only load from YouTube (in its privacy-enhanced mode) when you press play. YouTube's own privacy policy then applies.
  • WhatsApp, your email app or phone — only if you choose to message, email or call us, or to save a copy of your booking.

We do not sell your personal data. We do not use it for unrelated marketing lists.

5. How long we keep data

Booking and contact details are kept for as long as needed to complete the hire and for a reasonable period afterwards for queries, insurance, or accounting (typically up to 6 years for business records where relevant). Analytics data is retained according to the analytics provider settings.

  • Shared quote links expire after 7 days and are then deleted. Once a quote is booked, it is deleted 30 days later.
  • If a booking can't be sent (for example, no signal), it is kept on your own device and retried when you next open the site. It is removed once sent, or after 14 days.
  • Your basket and delivery postcode are kept in your own browser until you book or clear site data.

6. Your rights

You may request access, correction, deletion, restriction, or a copy of your personal data, and object to certain processing. Contact us on 07973 642083. You can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies

Essential site functions (e.g. remembering your basket and form details in browser storage) work without analytics. Optional Google Analytics only loads if you choose "Accept analytics" on the cookie banner. You can refuse analytics with "Essential only"; browsing and booking still work. You can also clear site data in your browser to reset that choice.

8. Changes

We may update this policy when our practices or the law change. The "Last updated" date at the top will be revised when we do.
